University Registrar Overview
The Office of the University Registrar models the highest standards of the registrar profession in providing exemplary service to the University community and constituents while ensuring accuracy, integrity, and confidentiality of academic records. Core values include records integrity; effectiveness and efficiency; growth; innovative solutions; service and support; teamwork and trust; respect, equality, and diversity; adaptability; and reliability. Technology plays a critical role in providing contemporary services to the University community. Collaborating closely with the Office of Information Technology and a host of vendor partners, the Registrar team designs innovative services and solutions for faculty, staff, advisors, and students. Examples of success include early implementation of pronouns and preferred names for students, a custom faculty and advising center, a new OHIO Guarantee+ Graduation Plan system, and tailored reports and integrations for multiple University constituents.
The Office of the University Registrar consists of 28 employees: 18 administrative and 10 classified bargaining unit staff, plus numerous student employees working in five distinct units (Administration; Degree Audit; Operations, which includes Academic Records, Ad-Hoc Reporting, Catalog Production and Program Management, and Registrar Services; Technology and Communication; and Veterans Center). The Office of the University Registrar reports to the Vice President for Enrollment Management.
The Administrative unit provides leadership, oversees all operations of the office, manages the budget and human resources, coordinates effective communication, coordinates student employment for the office, provides guidance for supporting the academic mission, and maintains personnel files.
The Degree Audit unit has responsibility for maintaining the degree audit system to support the academic advising process, supporting the system for accessing degree audits, maintaining degree audit programs for Transferology, enforcing credit reductions, and DARS exception processing.
The Operations unit oversees operations for the office including Academic Records, Ad-Hoc Reporting, Catalog Production, and Program Management, and Registrar Services.
The Academic Records unit has responsibility for ensuring integrity and confidentiality of student academic records, overseeing graduation processing, coordinating athletic eligibility process, coordinating grade reporting processes and academic progress, verifying enrollment and degree conferral, processing transcripts, and reporting enrollment and graduation data to the National Student Clearinghouse, compliance with University policies and the Family Educational Rights and Privacy Act (FERPA).
The Ad-Hoc Reporting unit provides data to support the operational needs of the academic units. The data obtained are for internal use only as most data are confidential and protected under FERPA.
The Catalog Production and Program Management unit has the responsibility for the production and editing of the undergraduate catalog, supporting catalog software, and academic program management.
The Registrar Services unit has the responsibility for supporting systems used for registering for classes, scheduling classes and assigning classrooms, assessing course fees, managing required textbooks and materials, encoding requisites, managing access to the student system, curriculum management, and registrar services. The unit is also responsible for the following: processing all name, SSN, and address changes; and overseeing hold processing.
The Technology and Communication unit provides expertise to the office in support of the extensive information technology applications used to provide services to our constituents, reviews and approves data integrations for third-party systems utilizing student data, assists in the development of new online services, coordinates testing of systems, coordinates Graduation Plan templates, and is responsible for central phones, emails, and incoming forms to the office. The Technology and Communication unit has oversight of all technology solutions to support the myriad of functions provided by the Office of the University Registrar, the website, and all first contact resolution for inquiries to the Office of the University Registrar.
The Veterans and Military Student Services Center serve as a central resource to support all veteran and military-affiliated students. The Veterans Center provides, facilitates, and coordinates programs and services for student veterans, military personnel, dependent students, and their families. The Veterans Center strives to assist military-affiliated students in making a successful transition to the 帝王会所 community and provides support throughout their academic careers. The Veterans Center is also responsible for ensuring all Veterans Affairs educational benefits are utilized in compliance with federal regulations.
