Reserving and Entering the Room

To reserve the room, please review the Room Reservation Policies, then submit a . 

When ready to enter, ask employees at the Alden Library 2nd Floor Service Desk to unlock the room for you.

Using the Projector and Front-of-Room Screens

The control panel for the projector and screens is located on top of the instructor's podium.

  1. Turn on the control panel using the power button in the upper right corner.
  2. A System Power dialog will appear. Touch the On button, then enter the code HORN or 4676.
  3. The projector and all screens around the room will turn on and load. This will take a few minutes.
  4. Choose what you want to display on the projector and front-of-room screens using the buttons on the middle row of the control panel:
    1. Lectern AirMedia: this option allows you to project your laptop screen wirelessly. See AirMedia Instructions.
    2. Lectern PC: this option uses the wire connections in the podium. First tap Lectern PC, then one of the following buttons:
      1. Desktop: this option displays the content from the desktop PC in the podium.
      2. HDMI: this option allows you to project your laptop by connecting it to the HDMI cable in the podium.
  5. By default, your content will be displayed on the projector screen and the two screens on the front wall. To also display it to the six table screens, tap Projector to Tables in the lower right corner of the control panel.
  6. When finished, turn the system off using the power button in the upper right corner of the control panel.

Using the Podium Microphone

To turn on the podium microphone, press the power button on the base of the microphone. Press the power button again to turn the microphone off when finished.

Using the Table Screens Independently

Participants seated at the tables can connect their laptops to the table screens in two ways:

  • AirMedia: this option allows you to project your laptop screen wirelessly. See AirMedia instructions.  
  • HDMI cable: each table television has an HDMI cable that can be plugged directly into the participant鈥檚 laptop. To use this option, use the button on the back of the lower right corner of the television screen to select Source: HDMI2/DVI. When finished using the HDMI cable, return the source to HDMI1.

To display the content from a table screen on the projector and/or front-of-room screens:

  1. Tap the icon for the table you want to share in the top row of icons on the control panel. (The tables are labeled with tape on the power outlet cover in the middle of each table.)
  2. In the bottom row of icons on the control panel, tap the icon for the front-of-room display where you鈥檇 like to display the table content: either Left LCD, Projector, or Right LCD. To display the content on all three front-of-room screens, tap Send to All

Using the Polycom Camera for Hybrid Teams Meetings

The Polycom camera (mounted on the tripod) acts as a webcam and microphone for the room, allowing off-site meeting participants in a Teams meeting to see and hear what is going on in the room.

  1. Plug the camera's USB cable into a USB port on the podium desktop or your laptop.
  2. Start or join the Teams meeting.
    1. To start or join anonymously (without having to log in): go to and enter the meeting ID and passcode from the meeting鈥檚 Outlook invitation.
  3. In Teams, choose Polycom Studio for your camera and microphone.  

The camera will try to zoom in on whoever is speaking at a given moment, if they are within its viewing area. Position the camera and participants accordingly (you can physically move the camera/TV stand). To prevent echoes and feedback, have anyone else who is joining the Teams meeting from their laptop inside the room mute their laptop microphone and speakers.
