Termination and End Date Reference Guide

This guide provides information regarding when employment records are terminated by UHR in Oracle.

 Faculty

  • Tenure Track - No Mass Termination Schedule
  • Clinical and Instructional - No Mass Termination Schedule
  • Instructor (semester appointment) - Termination Schedule: 24 month look back period from last paycheck
  • Visiting - No Mass Termination Schedule

 Staff: Temporary

  • Full time: ESC reaches out to the department with 60 days remaining. If department has no changes; HR will terminate assignment on scheduled end date. Department may wish to request extension. ESC will gain necessary approvals (benefits, employment)
  • Part time: ESC reaches out to department with 60 days remaining. If department has no changes; HR will terminate assignment on scheduled end date. Department may wish to request extension. ESC will gain necessary approvals (benefits, employment)

Staff: Term

  •  Full time: ESC reaches out to department with 60 days remaining. If department has no changes; HR will terminate assignment on scheduled end date. Department may wish to request extension. ESC will gain necessary approvals (benefits, employment)
  • Part time: ESC reaches out to department with 60 days remaining. If department has no changes; HR will terminate assignment on scheduled end date. Department may wish to request extension. ESC will gain necessary approvals (benefits, employment)

Staff: Intermittent

  • Term: ESC reaches out to department with 60 days remaining. If department has no changes; HR will terminate assignment on scheduled end date. Department may wish to request extension. ESC will gain necessary approvals (benefits, employment)
  • Temp: ESC reaches out to department with 60 days remaining. If department has no changes; HR will terminate assignment on scheduled end date. Department may wish to request extension. ESC will gain necessary approvals (benefits, employment)
  • Regular: no Mass Termination Schedule

Staff: Regular

  • Full time: No Mass Termination Schedule
  • Part time: No Mass Termination Schedule

Students

  • Hourly Students: Mass Termination on May 15 AND January 15. 12 month look back period for last pay.
  • RA/GA/TA: Mass Termination on May 15 AND January 15. 12 month look back period for last pay.

Program Employees

Termination Schedule: 24 month look back period from last paycheck.

All Faculty and Staff

Resignation and Retirement: Departments forward written resignation or retirement notice to HR Liaison.

Termination of Causes; Non-Renewals; Position Abolishments: require advance approvals. Please contact your HR Liaison before proceeding.
