Sponsored Projects (SP) Roles, Permissions, Functions and Capabilities
The roles in SP offer different types of permissions so users can have an experience customized to their duties. Below are the definitions for each role.
Role Definitions
- RS Admin Administrator: Responsible for managing People, Units, and External Organizations as well as all settings in the Admin Module, including: SP Email Templates, Task Email Templates, and Permissions for My Profile. This is the highest level of access an Administrator can have.
- RS Admin Viewer: Full read-only access to the Admin Module. Can view all content within People, Units, and External Organizations.
- Team Manager: Responsible for adding and removing people from Teams. No access to other Admin Module areas. Cannot add new People to the system, only add existing people to Teams.
- SP System Administrator: Responsible for administering the application, including managing the forms and configuring application settings. Has full edit access to all records in SP. This includes being able to edit project titles in any status. This includes being able to edit proposals and awards in all normally read only statuses.
- SP Proposal Administrator: Responsible for administering proposals within the central office or a specific unit. Has full edit access to all proposal records for the unit(s) assigned with the role.
- SP Proposal Viewer: Read-only access to all proposals for the unit(s) assigned with the role.
- SP User: May only view or edit proposals where they have been listed on the Research Team.
- SP Proposal Editor: Edit access to all proposals for the unit(s) assigned with the role. This includes being able to edit proposals in the normally editable status (In Development), as well as being able to edit awards in the Under Review, Approved, Submitted to Sponsor, Under Consideration, or Funded statuses.
- SP Proposal Reviewer: May only view and review proposals that have been assigned to them for review based on the unit(s) assigned with the role. Approves Proposals for a specific Department.
- SP Award Administrator: Responsible for administering awards within the central office or a specific unit. Has full edit access to all award records for the unit(s) assigned with the role.
- SP Award Editor: Edit access to all awards for the unit(s) assigned with the role. This includes being able to edit awards in the normally editable statuses (Set Up in Progress and In Review & Negotiation), as well as being able to edit awards in the Active status.
- SP Award Viewer: Read-only access to all awards for the unit(s) assigned with the role.
- SP Award Reviewer: May only view and review awards that have been assigned to them for review based on the unit(s) assigned with the role. Approves Awards for a specific Department.
- Team Reviewer: Assigned to a user by adding the user to a Team and creating a proposal or award review rule that requires review by that team. May only view and review proposals or awards that have been assigned to them for review. Approves proposals and awards for a specific Team.
Role Functions and Capabilities
The table below includes available SP user roles that can be assigned in Sponsored Projects along with the capabilities that come with each role. Additional functionality may be added to roles in the future.
Please note:
- Roles are assigned at the global level unless the role has (Unit) after the role name
- For roles with (Unit) after the name, the listed capabilities apply only to records that are associated with the Unit or sub-Unit(s) assigned with the user role (see the link below for more information on assigning roles)
- • Assigning Admin user roles is only one method of acquiring the capabilities listed.

**Users with the SP System Administrator or SP Award/Proposal Administrator role on a record can edit or delete any note in the Notes tab and delete any attachment in the Attachments tab, regardless of who added them.
