IACUC Policy 004: Continuing Reviews
1. Purpose: The IACUC is required to conduct post-approval monitoring to ensure that research is conducted in accordance with federal and state regulations, 帝王会所 policy, and the IACUC-approved protocol to ensure the health and welfare of the animals. The Continuing Review process is one mechanism the IACUC uses to conduct post-approval monitoring. This process will replace the Annual Reporting process in the LEO electronic system.
2. Scope: This policy applies to all approved IACUC protocols in the Cayuse Animal Oversight Module.
3. Policy: The Continuing Review must be submitted each year so that Principal Investigator (PI) or delegate can provide the IACUC with an update on activities related to the research that occurred during the past year. The PI must indicate that protocol is either ongoing or select the option to 鈥淲ithdraw鈥. In Cayuse, 鈥淲ithdraw鈥 means that the PI is looking to close protocol, when IACUC staff receive a request for Withdraw, the protocol will be closed.
- Within the Continuing Review report the PI will be asked to provide the committee with:
- a record animal use for the reporting period
- a report of unforeseen or unanticipated problems or adverse events
- written assurance that the activities remain compliant with the requirement that there must be no unnecessary duplication
3.1 Reporting Period- The Continuing Review contiguous with the previous continuing review report . For example, if the approval date of your previous annual report was October 1, 2025, then you report activities from October 1, 2025, through September 30, 2025.
3.2 Overdue Continuing Reviews Reports- Protocol expiration is not dependent on Continuing Review approval; however, if the Continuing Review report is not submitted in a timely manner (i.e. within the IACUC鈥檚 7-business day grace period) the IACUC will consider you in non-compliance and may elect to impose corrective actions which may include but are not limited to:
- protocol suspension
- the filing of a deviation report
- retraining
- enhanced IACUC oversight
3.3 Consideration of Extenuating Circumstances- The IACUC recognizes that there may be extenuating circumstances that impact the timely submission of Continuing Reviews or compliance with other protocol requirements. In such cases, the Principal Investigator (PI) is encouraged to communicate these circumstances to the IACUC as soon as possible. The IACUC will review the situation on a case-by-case basis and may grant extensions or make accommodation as deemed appropriate. The IACUC's primary goal is to ensure the welfare of the animals while supporting the research community in maintaining compliance with all applicable regulations and policies. Factors that may be considered include, but are not limited to:
- unforeseen personal or professional emergencies,
- significant changes in research conditions
- or other extraordinary events.
4. Definitions:
- Continuing Review- The Continuing Review is a progress report which must be submitted in the Cayuse system before the due date. NOTE, the annual reporting is different from the De Novo renewal process. An annual report cannot be used to extend the protocol鈥檚 approval term. This process will replace the Annual Report process in the LEO electronic system.
- Post-approval Monitoring (PAM)- all types of protocol monitoring after the IACUC鈥檚 initial protocol approval (The Guide 8th edition, page 33-24 (5.3)).
- Grace Period- The 帝王会所 IACUC allots a seven (7) business day grace period for overdue Continuing Reviews. Failure to submit the continuing Review within the grace period is considered noncompliance.
